HireArt is helping our client find a Document Support Specialist to ensure the smooth preparation, processing, and management of financial and operational documentation.
In this role, you will play a key part in ensuring accurate, compliant, and timely documentation across financial and legal processes. You’ll serve as a central point of coordination between internal teams and external counterparties, supporting seamless business operations.
The ideal candidate has international accounting experience, ERP system expertise, and excellent communication skills. You are detail-oriented and solution-driven, and you thrive in fast-paced environments that require cross-functional collaboration.
As a Document Support Specialist, you'll:
In this role, you will play a key part in ensuring accurate, compliant, and timely documentation across financial and legal processes. You’ll serve as a central point of coordination between internal teams and external counterparties, supporting seamless business operations.
The ideal candidate has international accounting experience, ERP system expertise, and excellent communication skills. You are detail-oriented and solution-driven, and you thrive in fast-paced environments that require cross-functional collaboration.
As a Document Support Specialist, you'll:
- Prepare, review, and approve payment documents, invoices, and POs for accuracy and processing.
- Oversee approval workflows to ensure compliance and proper formatting.
- Retrieve documents from internal systems, coordinate signatures, and deliver them to contractors.
- Monitor and track timely receipt of closing documentation from counterparties.
- Collaborate with Legal, Accounting, and Finance to support business operations.
- Manage contract lifecycles from execution to termination across international teams.
- Maintain organized documentation processes, including registration, scanning, storage, archiving, and reporting.
Requirements
- 5+ years of relevant experience
- Proficiency with ERP systems (Oracle/NetSuite or similar)
- General knowledge of accounting principles and international regulations
- Understanding procurement-to-delivery processes for global companies
- Experience with YouTrack or Jira to manage high volumes of tasks
- Skilled in negotiations, resolving issues, and handling objections
- Ability to work effectively in multitasking environments
- High attention to detail, strong sense of responsibility, and excellent communication skills
- Comfortable collaborating across teams, time zones, and cultural contexts
