We’re building the next generation of conversational voice and video AI for life sciences—intelligent with 100% regulatory compliance. Our AI medical experts help pharma teams engage doctors, support patients, and unlock insights faster than ever before. We’ve just raised our seed, signed our first customers, and are scaling fast. If you're excited about building real-world AI in an early stage startup and shape not just our product, but our identity and culture —this is your moment.
We move like owners. Everyone at SynthioLabs has the autonomy and the responsibility to drive projects, challenge decisions, and push things forward. We don’t wait for permission. If you see a gap, you fill it. If you see a better way, you try it.
We ask “why” until we get to the root. We explore new ideas, research papers, every single edge case and anything that sharpens our understanding.
We use AI like a second brain. From writing code to writing docs, debugging flows to exploring new ideas, AI is part of our daily rhythm. Everyone here gets hands-on with the tools, learns how to prompt better, and treats AI as a teammate.

Executive Assistant

About the Role

Synthio is looking for a highly organized and proactive Executive Assistant to support our leadership team and help drive operational efficiency across the company. This role sits at the intersection of operations, communication, and execution—ensuring that priorities are managed, workflows run smoothly, and the team can focus on building and scaling the business.
You’ll work closely with founders and senior leaders in a fast-moving environment, managing schedules, coordinating projects, and handling a wide range of administrative and operational tasks. This is a high-trust role with significant visibility across the company.
You’ll join a small, fast-paced team building real-world software for healthcare and pharma, where attention to detail, reliability, and strong execution are critical. We value individuals who take ownership, anticipate needs, and thrive in dynamic environments.

What You’ll Do

  • Manage complex calendars, scheduling, and prioritization for leadership
  • Coordinate internal and external meetings, including agendas, notes, and follow-ups
  • Support day-to-day operations, ensuring tasks and workflows are executed smoothly
  • Assist with project coordination across teams, tracking progress and deadlines
  • Handle communications on behalf of executives, including email and stakeholder coordination
  • Organize travel, logistics, and company events (including team offsites)
  • Prepare documents, presentations, and reports for internal and external use
  • Maintain systems and processes to improve efficiency and organization
  • Act as a point of contact across teams, helping unblock issues and streamline communication
  • Take on ad hoc projects and operational tasks as needed

What We’re Looking For

  • 1–4+ years of experience in an executive assistant, operations, or similar role
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • High attention to detail and ability to handle multiple priorities
  • Ability to operate independently and make sound decisions with limited guidance
  • Comfort working in fast-paced, ambiguous environments
  • Strong judgment and discretion when handling sensitive information
  • Familiarity with productivity tools (Google Workspace, Notion, Slack, etc.)
  • A proactive mindset—anticipates needs rather than reacting to them

Why This Role Matters

At Synthio, we’re building software that directly supports patients, physicians, and pharma teams. This role is critical to keeping the company operating effectively as we scale. You’ll enable leadership to focus on high-impact work while ensuring that the broader organization runs smoothly.
You’ll have high visibility, meaningful responsibility, and a direct impact on how the company operates day-to-day.

Perks

  • Competitive salary
  • Remote-friendly
  • Team offsites in San Francisco
